REGISTRATION POLICIES

Registration Cutoff Date: All Attendees must register online, whether they pay by check or credit card by Friday, September 25, 2026.

By registering, you understand that you will be held financially accountable for the number of registrants you are registering if you do not properly cancel your registration as noted in the confirmation email and per the CWDA cancellation policy below.

Payment Due Date: All payments must be received by no later than Friday, September 25, 2026, at 5:00 PM PT for pre-registration. Any registrants with unpaid balances will not be allowed access to the conference.

Cancellation Policy: Cancellation requests must be submitted by Friday, September 4, 2026, and are subject to an industry-standard cancellation fee of $65 (10% of registration cost). Click here to complete the Cancellation Request Form. No refunds will be issued after September 4, 2026. However, substitutions will be accepted in accordance with the substitution policy.

Substitution Policy: Transfers made prior to September 25, 2026, will be assessed a $35 administrative fee to transfer a registration to another individual. Please fill out the substitution form to request a transfer of your registration. Once we process the substitution request over to the new attendee, an invoice will be sent that will need to be paid to finalize the registration switch. All name badges are prepared the week after substitutions close on September 30, 2026. Therefore, any transfer requests after September 25, 2026, should be brought to the registration desk onsite along with the $50 onsite substitution fee.
PHOTO, RECORDING, AND SHARING OF INFORMATION POLICY
CWDA Events Disclaimer: During the CWDA Annual Conference, attendees/speakers may be photographed and/or recorded by the CWDA organization and/or its vendors. By presenting, I hereby authorize and grant the County Welfare Directors Association (CWDA) the right to:

Record all participants via screenshots, film, and/or video, for audio and visual production. Edit the recording into a photo gallery/short film/webinar (which may include other recordings and material).

Use the name and likeness, voice, or other information concerning all participants; and screen or place the recording/materials online, including social media.
These photos, videos, and recordings may be used for the promotion of CWDA and/or its vendors. By registering for the CWDA Conference, attendees understand that sponsors may contact them via email.

Additional tickets are not guaranteed beyond what is included in the sponsorship. Reserve your additional tickets asap before the conference sells out!

Cancellations: Written cancellations received prior to Friday, August 7, 2026, shall be subject to a 10% service charge. Cancellations received after Friday, August 7, 2026, but prior to Friday, September 11, 2026, shall be subject to a 50% service charge. No refunds will be made for cancellations after Friday, September 11, 2026. PRINTING DEADLINE: Applications received after Friday, June 12, may not meet the printing deadlines.

Sponsor/Exhibitor Agreement: By signing up and committing to sponsor/exhibit, you understand and agree to uphold the CWDA Sponsor/Exhibitor Agreement and the benefits associated with your sponsorship as outlined.

Suitcasing Policy (In-Person and Virtually): As defined by the International Association of Exhibitions & Events, suitcasing is a practice on the part of any attendee who is observed to be soliciting business while at the conference and/or in another company’s booth. All materials must be distributed from the booth and no other public areas of the conference. Any person violating or suspected of violating this policy may be removed from the conference, prohibited from attending the remainder of the event, and prohibited from attending future CWDA conferences at the sole discretion of CWDA staff.
Please note: Representatives of For-Profit companies must become sponsors in order to attend the CWDA Conference. Registering as a general attendee is not permitted unless approved by CWDA. Additionally, extra tickets beyond those included with the sponsorship are not guaranteed. To secure your attendance, please reserve any additional tickets as soon as possible, as the conference may sell out.
